Marshal Brief & Locations 2019- Updated 03/04/2019

Thank you for volunteering to marshal at the race, your help is greatly appreciated by organizers and participants alike. You are joining an excellent team, widely regarded as having the best marshals around!  Please meet at your location specified below. Each location has a manager who has been thoroughly briefed so please check in with them for further instructions. Please bring a mobile phone with you to use in case of an emergency, make sure you give your mobile phone number to Ben or Joe and put the base & race number in your phone (see bottom of page). The race directors and their responsibilities are Ben Morris –(Logistics, Course Markings, Marshal Locations & Checkpoints), Joe Timmins (Start/finish, Registration, Timing), Pete Smith (Logistics, Marshal Locations & Checkpoints).  We have CAVRA Medics covering the event and the Officer in charge for this event will be Ivor (number below).

Changes for 2019

Registration on Saturday is at Ogmore at the finish for both races in the marquee we are hiring (time below).

Race Timing and recording of runners is using the timing bands, as opposed to pen and paper.

Cut off points
There are several cut off points on the course shown in the event timetable above.  If competitors do not make it to these checkpoints within the time limits you they will not be allowed to continue.  This is for their safety and that of other runners, and to ensure the smooth running of the event. If competitors are allowed to continue after the cut off time it restricts the smooth flowing of first aid cover, safety teams and marshals moving along the course. It also means the competitors will not be finished in the overall cut off time and this means everyone (marshals, safety team and organisers) have to remain at their stations longer than they have committed to.  

Race Starts- 32 mile start: Penarth Pier, CF64 3AU start time 08.00 

There is a one-way system that takes you past the pier, where there is limited parking available opposite the entrance to the pier.  Further parking is available in a car park at the top of the hill once you have driven past the pier.  Please bring coins as parking charges apply.  

Race Starts- 18 mile start: Porthkerry Park, CF62 3BY start time 10.30

Once you enter the Park follow the road until you come to a car park, in front of the café, this is the start location.  Please note race car parking is in the overflow car park in front of a very large viaduct. Registration is in the log cabin to the left of the Café, by the entrance to the overflow car park.

Saturday Morning Registration, Coach Pick Up and Race Finish: Ogmore-by-Sea, Rivermouth Car Park CF32 0PR.  This is a car park located at the edge of the Ogmore estuary.  The turning into the car park is quite steep and narrow, especially if you are driving from Southerndown, so please take care when turning into the car park.  If you are arriving early to park and catch a coach to the start you will be directed by marshals when in the car park, please follow their directions.  This car park can get busy so please park considerately and take care when leaving after the event.  Parking charges apply at this car park, (£5 for a full days parking –coins only).

Drop bags

For both the Ultra and 18 mile race competitors have the option of having a drop bag to transport any spare kit from the start to the finish line.  These will be provided on the day along with stickers to mark which bag is yours. PLEASE MAKE SURE DROP BAGS ARE TAKEN TO THE DROP BAG VAN BY COMPETITORS. DO NOT COLLECT DROP BAGS AT REGISTRATION AS YOU MAY HAVE TO CARRY THEM TO THE VAN! 

General Race Notes

Please check the forecast for the event and bring enough warm kit to remain comfortable and full body water proof cover to keep you dry should the weather be wet. Suitable footwear to keep you warm and dry with adequate grip is also advisable. If you do not have any equipment, please contact us a.s.a.p. and we can help. Please make sure you pick up a yellow safety vest from registration and use it throughout.
There are no muddy trainers allowed inside any of the facilities, so please do your best to ensure participants remove their shoes if muddy especially after the race.

Our collective aim is to facilitate the safe, smooth running of the event for competitors and other users of the route. You may need to be assertive at times, but above all else try to remain positive and encouraging. Please ask runners to keep to the left of footpaths, and leave space for any returning runners. Politely try to inform any other route users about the event. At the starts please try to keep to keep the path clear. Please make everyone feel welcome, especially new, or nervous individuals.

Please record the numbers of runners coming through the checkpoints. We have supplied checkpoint record sheets with the aim of recording runners in 15 minutes’ blocks. This is so we can roughly predict when runners will be coming through checkpoints further down the route, and keep an eye out for any missing or slowing down. Please keep an eye out for anyone struggling or injured. Check that they are ok and if they need first aid assistance please follow the guidelines below. Please report any issues to the race directors at the end of the race.

Scanning

Please scan all runners through the Checkpoint.

Ideally set two dedicated scanners out in front of the checkpoint to ensure all runners are scanned through.

If a runner does not scan please record there number and when you get an opportunity pass it on to Ben or Joe and we can update the system manually.

If the signal is dead then please keep scanning. The individual devices will store the runners then update when there is phone signal.

If anybody retires please manually record there number (write it down) and take there wrist band off. Ben will collect the wristbands and list of retired numbers when he closes the checkpoint down. 

 

Dealing with Emergencies

CAVRA First Aid Responders are covering first aid for the event. They will be roaming in 3 x Land Rovers and stationed at open Checkpoints and roaming. If you need assistance call their mobile immediately. They are there to cover the event so with any emergencies (Major or Minor) call them and they will coordinate response.

Each checkpoint has an Emergency Access Point (EAP) Map which details the route, and the location, address and grid reference of the Emergency Access Points (EAP) to the Trail. If you need to call CAVRA, first aiders or Emergency Services you can refer to this for access points to the route. You should make yourself familiar with it when you arrive.

In addition to the CAVRA team we have numerous first aiders as part of our team Pete, George, Ben, Joe, Liam and some of the Marshals are all qualified first aiders so we have a lot of first aid cover!

Please note that if anyone is injured or withdraws and they are not a major emergency (i.e going to hospital in an ambulance) then they must wait until the sweeper and last racer is through and the course is clear before being returned to base. Put them in a warm car or indoor location and keep an eye on them.  But please don’t leave your position to take them back unless relieved with another suitable person issued by the race directors. Of course, if they have family and friends to pick them up or want to get a taxi this is fine.

In a minor injury summon the nearest first aider/or medic, call CAVRA control and then call the race director. Ensure they are warm and get them in shelter from the elements if possible! (Car, building, bus shelter, out of the wind).
In a major emergency call/get help from a first aider, other runners, marshals or bye-standers. Call CAVRA Control (if CAVRA medic is not already their). CAVRA will coordinate the response. (If no Response from CAVRA and a major emergency call 999). Then call the race director.

 Registration Guidelines Vale Coastal Races

At registration runners will

1-hand in the 'Registration and Kit Declaration Forms' .

This form confirms contact details, emergency numbers, medical conditions and confirms they are carrying the compulsory kit.

2- Receive Number-Ask them to fill out back of number with emergency details (this does not need to be done there and then).

3- Receive T-shirt

4- Receive Timing Wrist Band

 

Note-There is no kit check at registration. There will be a kit check on the course at LLantwit.
